The Admin Assistant will provide comprehensive administrative support while specializing in Excel-based data management and dashboard analysis. This role requires expertise in organizing, analyzing, and presenting data through Excel, as well as creating and maintaining dashboards to support decision-making processes. The ideal candidate will have exceptional attention to detail, strong organizational skills, and advanced Excel proficiency to contribute to the efficient operation of the department.

Key Responsibilities:

Administrative Support:

  • Provide administrative support to senior management and team members.
  • Schedule meetings, coordinate appointments, and manage calendars.
  • Handle correspondence, including emails and phone calls, and respond to inquiries.
  • Maintain and organize office files and documents (both physical and electronic).
  • Assist with office supply management and ordering.

Excel Data Management and Analysis:

  • Use advanced Excel functions (e.g., VLOOKUP, INDEX MATCH, pivot tables, formulas) to organize, analyze, and present data.
  • Create, update, and manage large datasets to track various business metrics.
  • Perform data entry and clean data to ensure accuracy and consistency.
  • Analyze data to identify trends, patterns, and key insights for reporting purposes.

Dashboard Creation & Maintenance:

  • Develop and maintain interactive dashboards using Excel, Power BI, or other relevant tools to visualize data in an easy-to-understand format.
  • Regularly update dashboards with new data and ensure accuracy and relevance.
  • Design custom reports and visualizations for various departments based on business needs.
  • Ensure that dashboards and reports are accessible to key stakeholders and provide meaningful insights.

Reporting:

  • Prepare regular and ad-hoc reports based on data analysis to support decision-making.
  • Distribute reports to relevant stakeholders in a timely manner.
  • Assist with compiling data for presentations or management meetings.
  • Ensure reports are accurate, clear, and appropriately formatted.

Process Improvement:

  • Suggest and implement improvements to administrative workflows, reporting procedures, and data management practices.
  • Identify opportunities for automation or streamlining processes using Excel or other tools.

Collaboration and Communication:

  • Collaborate with cross-functional teams to understand data needs and deliver relevant insights.
  • Communicate data findings and analysis to non-technical stakeholders clearly and effectively.
  • Act as a liaison between departments to ensure data is accurately collected and reported.

Skills & Qualifications:

  • Education: Associate’s or Bachelor’s degree in Business Administration, Data Analysis, or a related field preferred.
